Important information for exhibitors 1 week out from AgFest

Dear AgFest Exhibitor,
We look forward to seeing you soon. The following is important information to ensure you have a great experience at AgFest.
Please share this email with every member of your team who is attending AgFest.
1) TO GET INTO AGFEST FOLLOW THESE DIRECTIONS FROM THE MAIN STREET (HIGH STREET)

  • If you are coming from the South – Turn Left into Raleigh Street
  • If you are coming from the North – Turn Right into Raleigh Street
  • Drive West along Raleigh Street until you meet Preston Road at the end of Raleigh Street.
    DO NOT TURN LEFT
  • Please turn right into Preston Road
  • Drive 200m and turn left into Swift Street
  • Drive 150m and take the first left into Reid Street
  • Drive 300m to the corner of Reid Street and Merrick Street
  • Please meet Agfest staff here and you will be directed where to go from there.
  • This is to assist with getting everyone in and on time easily.

2) Freight
If you have any freight requests, this includes the use of
  • Motorbikes
  • Side by side
  •  Telehandler
  • Tractors

3) Pack-in and Pack Out

PACK-IN!

The Site is open 9am to 6pm Monday April 8th and Tuesday April 9th, and 7am to 9pm Wednesday April 10th and Thursday April 11th.


Any HEAVY VEHICLE movements involving Hi-abs, Cranes, Large unloads requiring a Telehandler or similar are requested to be done by Tuesday 9th at the latest.
WE CANNOT HAVE LARGE UNLOADS TURNING UP ON THURSDAY AFTERNOON WHEN THE SITE IS FULL OF EXHIBITORS.
Local West Coast exhibitors are requested to have set up their site by Wednesday 10th at 9pm – leaving Thursday clear for out of town exhibitors to set up, minimising congestion.
REMINDER – We have overnight security from 8pm Tuesday April 9th through to 7.30am Sunday April 14th, however, we do advise that anyone with valuables removes them from the site where possible.

PACK-OUT!
Pack-out may start at 4.30pm on Saturday April 13th – HOWEVER NO VEHICLE MOVEMENTS UNTIL 5PM. The site will open at 9am on Sunday 14th and Monday 15th so you can finish your pack-out.
We request all sites to be vacated by 5pm on Monday. If you are unable to meet this deadline please email [email protected]
4) Health and Safety Form
This is very important guys – every site needs to have completed one of these before they come to the site. Here is the link to 2024 Health & safety Form. Please complete this and send to us at [email protected]




We can’t express this enough to you – by filling this out and sending to us now, you will save at least 1/2 hour when you arrive onsite to set up – that’s right ½ an hour
5) Exhibitor Packs

You are to collect your Exhibitor packs from the AgFest I-site on arrival at the venue. Don’t worry, this is easy to find and you will be directed here.
In the pack will be your exhibitor passes, you will need to put these on when you arrive and wear them for the entire event.
Those of you with Agfest function tickets – these come in the form of a wristband and these will also be in your Exhibitor pack.
6) Exhibitor Vehicles and Exhibitor Vehicle Pass
  • When you arrive at the AgFest I-site you will need to take an exhibitor vehicle card for each vehicle your company will have on-site during the event.
  • This exhibitor vehicle pass will also give you access to the exhibitor parking areas, you will need to ensure this card is on your dashboard at all times and is visible to our parking attendants. Without it, you won’t be able to access the exhibitor parking areas or the Agfest site.
  • This needs to be displayed in the front window of your vehicle with all the relevant information requested. Any vehicles that don’t have a vehicle pass on display will be towed from the site.
  • Exhibitor Vehicles may not park in the paid public car park on Aerodrome Road, any exhibitor vehicle found in this area will be removed.
The Site

While on-site please keep vehicles on the laneways – we will be enforcing this to ensure you don’t drive across anyone else’s site
7) Corporate Hosting
If you are hosting guests on your site and providing alcohol we will require you to fill out and sign our corporate hosting form before AgFest opens. Please be aware any corporate hosting is for clients or prospective clients only – please do not give alcohol to members of the general public, we have a Speights bar for this purpose.
This is important for you to understand!! YOU WILL BE RESPONSIBLE FOR ADHERING TO THE RULES ON THE FORM AND IF THERE ARE ANY ISSUES AGFEST RESERVES THE RIGHT TO HAVE YOU STOP SERVING ALCOHOL, AND CLOSE YOUR SITE FOR THE REMAINDER OF THE EVENT.
The event closes at 4.30 Friday 12th and 4pm Saturday 13th, and you will be required to vacate your site by 5pm – there is no exception!!! This is to ensure the entire site is secure, we are sure you’ll appreciate the importance of ensuring everybody’s site is secure.
8) Function Tickets

We still have some function tickets available – this takes place on the village green this is the same location as the Speights bar. Tickets are $40, included in your ticket are food and refreshments and live music from the AgFest 2024 headline act Cam Scott – if you want some and haven’t yet purchased them – email us now at [email protected]. You are welcome to bring your family and friends along to the function – and there will be tickets available to purchase at the AgFest I-site until sold out
9) Key things to remember for your site build 

Here are a few things we suggest you bring with you. We don’t supply these and if you need them you’ll need to leave the site to get for yourself:
  • Extension Cords
  • Multi Plugs
  • Duct Tape
  • String
  • Hammer and other tools
  • Scissors
  • Cable ties
  • Gazebo Pegs
10) Outstanding accounts
Your account with Agfest needs to be settled prior to setting up your site. If you have still not received your invoice or you need to discuss your account, please contact [email protected] as soon as possible.
11) Site closes at 5pm Friday April 12th for the day 

All sites need to be vacated by 5pm on Friday April 12th – the only people on ground are the people who are going to the onsite Exhibitor function, if you need an exemption please advise the AgFest I-site to avoid any confusion.
12) Exhibitors bringing heavy machinery
If you’re bringing heavy machinery to site you need to bring rubber matting or tyres to use while unloading to prevent damage to the ground.
