2024 Event Update!

Here is an update for our exhibitors on infrastructure around AgFest 2024.

1) Marquee Hire

Our marquee suppliers are Party Warehouse, please see attached information from Stacey and the team at Party Warehouse, they are here for all your marquee requirements.

2) Site Staging
Our site Staging partners are Peek Exhibition, please see attached flyer with information and contact details from Cheryl and the team at Peek Exhibition.

For those of you in pavilion sites wanting partitions, these are the people to sort these for you.

3) Site Landscaping supplies
For all Landscaping supplies for AgFest e.g. Bark, Shrub hire, etc please email [email protected] with a specific list and site plan of where you want it delivered.

5) Function Tickets
AgFest is famous for our Friday night function, always a good time had by the exhibitors. There are still Function tickets available for the AgFest Function on Friday night on site, these are $40 plus GST, Food, Drink and entertainment provided – email us at [email protected] if you and your friends/colleagues would like to attend and we can arrange tickets. (Please note this is open to all you don’t have to be an exhibitor to attend).

6) AgFest Programme

The AgFest Programme goes out a week ahead of the event and is delivered to the 15000 households from Karamea to Haast and handed out at the gate to event goers, I’m sure you’ll understand the broad reach of this circulation, making the programme an invaluable marketing tool for exhibitors.

7) Corporate Hosting
If you are planning on corporate hosting and providing alcohol to clients on your site we require you to fill in an alcohol declaration form on arrival – this will be done while you’re signing in at the AgFest I-site

Each site serving alcohol will need a designated person on site who is responsible for all alcohol consumption – drunken behaviour will not be tolerated and intoxicated people will be escorted from the event – THIS WILL BE STRICTLY ENFORCED.

8) Pack-in and Pack Out
PACK-IN!!!
The Site is open 7am to 8pm on Monday 8th and Tuesday the 9th and on Wednesday 10th. On Thursday 11th site will be open from 7am to 9pm.

Any HEAVY VEHICLE movements involving Hi-abs, Cranes, Large unloads requiring telehandler or similar are requested to be done by Tuesday 9th at the latest.

WE CANNOT HAVE LARGE UNLOADS TURNING UP ON THURSDAY AFTERNOON WHEN THE SITE IS FULL OF EXHIBITORS.

Local West Coast exhibitors are requested to set up their site by Wednesday at 9pm – Leaving Thursday clear for out of town exhibitors to set up minimising congestion.

REMINDER – We have overnight security from 8am Tuesday April 9th through to 7.30am Sunday April 14th, however, we do advise that anyone with valuables removes them from the site where possible.

PACK-OUT!!!
Pack-out will start at 4.30pm on Saturday April 13th – HOWEVER NO VEHICLE MOVEMENTS UNTIL 5PM!

The site will open at 7.30 on Sunday 14th and Monday 15th so you can finish off your pack-out.

We request all sites to be vacated by 5pm on Tuesday 16th. If you are unable to meet this deadline please email [email protected]

9) Product deliveries to site
AgFest’s freighting partner is Mainfreight, they are the only carrier that has the space to store your product. If you are having product delivered to the site in the days leading up to the event and you’re not present, please contact us at [email protected] and advise us of the following:

  • Your business name and site number need to be noted on all packages and manifests, along with a contact phone number.
  • Whether you require a Tractor or forklift to unload your delivery and an estimated date and time of arrival.
  • You need to ensure that your product is removed from the site by Sunday afternoon. If you can’t get it off site, we can make arrangements for it to be moved to Aratuna Freighters for a small transport and storage fee.

10) Storage of product before and after the event
Our cartage sponsor Aratuna Freighters (Local Mainfreight depot.) are happy to offer storage in their yard if it needs to arrive in Greymouth prior to the event – please contact Aratuna Freighters 03 768 4039 if you need to book space. Please note, Aratuna are also the local agents for Mainfreight.
